13 August 2020
1. The Meeting was opened by President Vicki Edwards at 7:00 PM, at 9803 S. 21 st Circle, Bellevue NE. With 5 of 5
directors present, a quorum of the Board existed.
2. Attendance at the Meeting included:

3. The minutes of the meeting held on 9 July 2020, were approved.

4. Treasurer’s Report: Treasurer Janelle Smith provided the following status as of31 July 2020: Great Western
Checking Account: $87,252.05; Fidelity Money Market: $56,278.21.
5. Finance Director’s Report: The following items were discussed:
A. Al Cans for 2 X 4’s: No new developments.
B. Dinner Raffle, Oct-Nov 20: No new developments.
C. Church of the Nativity Offering: Jan 21
D. Bowl-a-thon: Mar 21
E. 2021 Financial Plan: Progress to date, on $80,000 fundraising goal is near zero.
F. Other Ideas: None.
6. Old Business:
A. Update of Membership Roster: No changes noted.
B. VA Connection (Bob Corsi): Bob reports much virus anxiety among the VA volunteers and some resistance to
some of the coronavirus measures.
C. Crew Website ( http://www.accrew.org ): No new developments.
D. Colorado (CO) Connection (Corey Cinabro): No new developments.
E. Volunteer Recruitment in Bellevue: No new developments.
F. 2020 Deployment (with work delayed to starting Thurs, 17 Sep 2020): The Good Shepherd Church of Cincinnati
completed the subfloor on 13-16 Jul 20. The current berthing plan includes using 24 beds in the Inn with 4 camper beds
at the peak number of the volunteers on Turnover Tues night, 22 Sep 20. The following changes were noted on the on-site
volunteer list: Mark Sawyer (VA), Bob Gousy (VA) and Bob Colella (VA) are off the Finish Crew; Dave Loesch is on
the Finish Crew; Steve Mu11en (VA) is on the Siding Crew and Mark Biwer is off the Siding Crew. With all these
changes the on-site Crew now stands at 28 volunteers. The Construction Director made reservations for 2 rooms at the
Baymont Inn in Evansville, IN, as mid-point stopover, on Tues, 15 Sep 20. The Family/Crew Dinner will not be held to
avoid one possible time for virus transmission.
G. Coronavirus Actions: The Construction Director purchased 12 10-oz bottles of hand sanitizer for use on the
jobsite.
H. KY Coronavirus Restrictions/Rules: Remains that groups of 50 are allowed KY.
I. 2021 Deployment (Works starts on Thurs, 3 Jun 21): We have learned that 2 of the 4 children of the Stephens
Family are actually a niece and nephew from families who lost custody of the children due to drugs. Kay Morrow
reported that a new septic system will be required. The Construction Director made reservations with St. Joe’s Inn
Landlord Jim Barney on 6 Aug 20, for 2-16 Jun 21, with back-up reservations for 1-15 Sep 21.
J. 2020 Donor List: The list was reviewed for second time for spelling and omissions and no changes were noted.
7. New Business:
A. COVID-I 9 Plan: The plan was reviewed and approved by the Board. The Construction Director will send the
plan to each on-site volunteer.
B. Daily Sanitizing of St. Joe’s Inn Bathrooms: Thru Kay Morrow, the Crew has hired the Inn cleaning woman to
daily sanitize the 3 bathrooms at cost of $11 per hour.
C. Catholic Mass: Thru Kay Morrow, Father Jay from Somerset will say Mass at St. Joe’s at 7 PM on Sat, 19 and 26
Sep 20. The Construction Director has offered to pay a $50 stipend per Mass to Father.
D. VA Trailer: With Pat Colton’s large trailer not available for hauling household gifts and tools from VA, the
Construction Director has offered to pay for an approximate $700 trailer rental fee.
E. Adopt-A-Road on 25th Street: A tentative time of 9 AM, Sat, 10 Oct 20, was selected.
8. The Crew Meeting was adjourned at 7 :48 PM. The next Meeting (if needed) was set for 7: 00 PM, Thursday, 10 Sep

3. The minutes of the meetings held on 13 February 2020, were approved.
4. Treasurer’s Report: Treasurer Janelle Smith was not present to provide a status.
5. Finance Director’s Report: The following items were discussed:
A. Al Cans for 2 X 4’s: One attendees brought cans.
B. Church of the Nativity, Burke, VA, 4-5 Jan 20: Bob Corsi reported on 2 Mar 20, that the final tally on the
collection was $80,777.00. A Church of the Nativity check for $75,000.00 was received and deposited on 9 Mar 20. Bob
indicated that $2,000 would be retained for buying beds for the Marler Family and about $4,000 was retained, as
carryover for next year. Bob indicated that 83 of the collection donors were between $200 and $5,000. Bob also
~ indicated that $2,000 in Walmart gift cards was collected for the Marler Family.

C. Base Catholic Chapel Designated Offering, 8-9 Feb 20: A Chapel check for $2,046.00, was received on 22 Feb
and deposited on 24 Feb 20.
D. 25th Annual Bowl-a-thon, 1:30 PM, 7 Mar 20, Leopard Lanes: Nineteen bowlers knocked down a total of2,768
pins. A total of $4,118.00 in pledges was collected at and the next day after the Bowl-a-thou and another $590,20 was
collected at the meeting for a current pledge total of $4, 708,20. Five bowlers have not completed their collection of
pledges. ·
E. 2020 Financial Plan: As of the start of the meeting, 122.3% of our $70,000 goal has been raised.
F. Other Ideas: Finance Director Ron Strawn reported that Pizza Ranch Manager Samantha Oxley is willing to
furnish $100 in store certificates for this coming faJl’s Dinner Raffle.
6. Old Business:
A. Update of Membership Roster: No changes noted.
B. VA Connection (Bob Corsi): No new developments.
C. Crew Website ( http://www.accrew.org ): No new developments.
D. Colorado (CO) Connection (Corey Cinabro): Corey delivered the spring arm trailer hitch on 14 Feb 20, which
will be installed in Apr 20.
E. Volunteer Recruitment in Bellevue: The Crew Breakfast with the Confirmation students netted $414.21 ($626.00
– $211.79) in donations, with about 85 people attending .

F. 2020 Deployment (with work starting on Thurs, 28 May 2020): The interior paint order at Lowe’s of Somerset
was approved on 11 Mar 20, at a cost of $486.00, which makes the total Lowe’s order $3,037.00. The Construction
Director will make reservations for 2 rooms at the Baymont Inn in Evansville, IN, for the mid-point stopover on the night
of Tues, 26 May 20.
G. 2019 Tax Return: No new developments.
7. New Business:
A. Adopt-A-Road: The clean-up of 25th Street was set for 9 AM, Sat, 18 Apr 20.
B. St. Joe’s Inn Improvements: Jim Barney reported that the work is 98% complete and includes a new 65-inch TV.
C. Coronavirus: The Construction Director added this agenda item and expressed the following concerns: (1) Will
government travel restrictions prevent the Crew from making the 28 May to 9 Jun 20 deployment? (2) Will the Crew
volunteers be put in unsafe conditions from contacts along the travel routes and in Whitley City?
8. The Crew Meeting was adjourned at 7:40PM. With Holy Thursday on our normal meeting day of 9 Apr 20, the next
Meeting was moved to 7:00 PM, Thursday, 16 Apr 20, at 9803 S. 21st Circle.

5. Finance Director’s Report: The following items were discussed:

A. Al Cans for 2 X 4’s: Turn-in on 7 May 20: 49 lb X $0.24/lb = $11.75. One attendee brought cans.
B. 25th Annual Bowl-a-thon, 1 :30 PM, 7 Mar 20, Leopard Lanes: A total of $6,062.20 in pledges was collected for a
new record. The Secretary sent out 72 thank you letters to donors.
C. 2020 Financial Plan: To date, 125.2% of our $70,000 goal has been raised. NE fundraising contributed $12, 653
or 18.1% ofthe goal.
D. 2021 Financial Plan: The proposed plan, which starts on 1 Jul 20, was discussed. The Dinner Raffle could be
affected by whether open dining will be available this Fall. If the Base Chapel adheres to their recent policy, the Crew
will not be getting a designated offering this year. The total goal will be determined without the benefit of knowing the
total 2020 bill and the selected 2021 Family. The Secretary suggested that the goal should be at least $75,000 for
3BR/2Bath home with a new septic system.
E. Other Ideas: Fundraising in NE could use some help.
6. Old Business:

D. Colorado (CO) Connection (Corey Cinabro): The Construction Director will work with Vice-President Marcel
More&u, George Caw! and owner where the trailer is stored on a schedule for installing the spring arm trailer bitch
provided by Corey.
E. Volunteer Recruitment in Bellevue: No new developments.
F. 2020 Deployment (with work delayed to starting Thurs, 17 Sep 2020): Evon Pruett of Lowe’s ordered kitchen
Cabinets on 26 Mar 20, for delivery at the end of May. Due the coronavirus restrictions, the deployment was
delayed from 27 May-10 Jun 20 to 16-30 Sep 20. St. Joe’s Inn reservations were revised for this change. Harry Wallace
has put off the building of the subfloor by the Good Shepherd Church of Cincinnati until just before our Sep arrival. The
Personal Items to Bring List was revised for volunteers to bring their own pillow and case and face masks per instructions
of St. Joe’s Inn Landlord Jim Barney. The Food Crew Leader needs to include necessary cleaning supplies in their
buying for combating the coronavims. Based on last year and special needs of this year, The Construction Director
recommended that Food Crew Leader Vicki Edwards be given an advanced payment of $2,000 for food and supplies.
G. 2019 Tax Return: Return completed and Treasurer to provide a copy after the meeting.
H. Adopt-A-Road, 25 Apr 20: The clean-up of 25th Street was delayed a week due to snow and was completed by
four volunteers.
G. Coronavirus Actions: The Crew is currently on Option 2, with delayed 16-30 Sep 20 deployment. The
Construction Director discussed the following less desirable options including: Option 3: Deploying in Sep with a 1 Oman
Crew if the IO-person meeting restrictions are still in effect; Option 4: Have the remaining work on the Marler
Family home put out for bids by local KY builders and Option 5: Delay work on the Marler Family home until 2021.
7. New Business:
A. Second Advanced Payment: A Crew check for $5,000 was sent to the Good Shepherd Chapel on 24 Apr 20 and
received on 27 Apr 20, for the subfloor work and other expenses before the Crew’s Sep arrival. The total of advanced
payments on the Marler Family home is now $20,000.
B. KY Coronavirus Restrictions: Good Shepherd Chapel Treasurer Kay Morrow and St. Joe’s Inn Landlord Jim
Barney indicated that meeting restrictions would be eased to allow 50 people gather on 1 Jul 20. The Construction
Director has 150 3-Ply face masks on order and the Food Crew Leader was requested to buy a case of hand sanitizer.
8. The Crew Meeting was adjourned at 7:35 PM. The next Meeting was set for 7:00 PM, Thursday, 11 Jun 20, at 9803
S. 21 st Circle.
