The Appalachian Construction Crew had their drawing on November 16th at the Papillion Pizza Ranch.

Thanks to the generosity of the Pizza Ranch we had $100 more in certificates. Which gave us two more WINNERS!!

  1. Treasurer’s Report: Treasurer Janelle Smith provided the following status, as of 31 Jul 16:  Great Western Checking Account:  $61,909.96;  Fidelity Money Market Account:  $24,220.28.
  1. Finance Director’s Report: The following items were discussed:
    1. Cans for 2 X 4’s:  The Secretary turned in 40 lb of Al cans on 9 Aug 16 and $12 was received.
    2. Offutt Air Show, Sat, 30 Jul 16:  Ten volunteers worked 10 hours.  Await our share of the profits.
    3. Dinner Raffle(Oct-Nov 16):  Ron still needs to get over to the Papillion Pizza Ranch to see whether they will again donate $300 in gift certificates.  We agreed on the $5 donation ticket price and raffle prizes of:  1st:  $150; 2nd: $100 and 3rd:  $50.
    4. Church of the Nativity, Burke, VA Offering:  To be scheduled for Jan 17.
    5. Bowl-a-thon:  To be scheduled in Mar 17.
    6. Offutt Catholic Chapel Offering:  To be requested by the Secretary.
    7. Combined Federal Campaign:  Results to be known in Mar 17.

    1. Update of Membership Roster:  No changes made.
    2. 2016 Combined Federal Campaign Indiana, Kentucky, Southwest Ohio Drive:  Alisha of the CFC confirmed that having the Good Shepherd Chapel as the service address and Crew’s NE office for receiving CFC revenue satisfied the upper levels of the CFC and the Crew is definitely in the Fall CFC Drive.
    3. VA Connection (Bob Corsi):  No new developments.
    4. Crew Website ( http://www.accrew.org ):  The photo disc for the 2016 deployment has arrived and the President will get her copy to the Webmaster.
    5.   Colorado (CO) Connection (Gary Piper):  No new developments.
    6. Volunteer Recruitment in Bellevue:  The Secretary is planning to do another Pancake Breakfast with the Offutt Catholic Chapel Confirmation Class, with a tentative date of Sun, 19 Feb 17.  Await the start of the Confirmation Class this Fall before putting in a request for this event.
    7. 2017 Deployment (work starts on Thurs, 1 Jun 17): Harry has started on-site work for the Yancey house.  Harry’s goal is complete the septic system and house foundation before Winter.  On 2 Aug 16, the Owner approved the floor plan.  Since we still have one quillow left over for a young boy, Janelle will ask her mother to make a quillow for the 5-year old girl of the Yancey Family.

    1. Adopt-A-Road:  Sat, 17 Sep 16, was tentatively chosen for picking up trash on 25th Street.
    2. Audit of CY 2016 Accounting Books:  With revenues in CY 2016 exceeding $100,000, the CFC will require that an audit of our books be available for possible submission.  President Vicki Edwards will consult a friend who is CPA for possibly doing this audit in the Jan-Feb 2017 timeframe.
    3. 2017 Advance Payment:  Per Harry Wallace‘s request, a $20,000 advance payment was sent on 29 Jul 16 for completing the septic system and foundation on the 2017 home.  By email, Harry confirmed the receipt of the advance payment on 5 Aug 16.  Harry will install the sub floor next May.

  1. Treasurer’s Report: Treasurer Janelle Smith provided the following status, as of 31 Jul 16:  Great Western Checking Account:  $41,689.74;  Fidelity Money Market Account:  $24,222.58.
  1. Finance Director’s Report: The following items were discussed:
    1. Cans for 2 X 4’s:  No new developments.
    2. Offutt Air Show, Sat, 30 Jul 16:  The Secretary picked up the share check of $1,350 on 7 Sep 16, which is the 5th  highest of amount of 17 Air Shows worked.  The average amount received is $975.39 and highest amount received is $1,800.
    3. Dinner Raffle(Oct-Nov 16):  Ron indicated that the Papillion Pizza Ranch will again provide $300 in gift certificates.  The Secretary requested Donna Vogt to print 300 raffle tickets on 31 Aug 16.
    4. Church of the Nativity, Burke, VA Offering:  To be scheduled for Jan 17.
    5. Bowl-a-thon:  To be scheduled in Mar 17.
    6. Offutt Catholic Chapel Offering:  On 15 Aug 16, the Secretary requested consideration by the Chapel (Peggy Hoffman) for a designated offering.

    8. 2017 Financial Plan:  With public donations and the Air Show revenue, the Crew now stands at 2.5 % of the 2017 Fundraising Goal of $75,000.

    4. Crew Website ( http://www.accrew.org ):  Kathi Narlock added the 2016 deployment photos to the website.
    5. Colorado (CO) Connection (Gary Piper):  Gary is still undecided about making the 2017 Deployment due to his health.  Corey will be coming and previous volunteers Jim Magill and Beth Collins are considering coming.
    6. Volunteer Recruitment in Bellevue:  In the upcoming month, the Secretary will inquire whether the Offutt Catholic Chapel Confirmation Class is interested in helping with a Pancake Breakfast on Sun, 19 Feb 17.
    7. 2017 Deployment (work starts on Thurs, 1 Jun 17): Harry has completed the Yancey house foundation and septic system.
    8. Adopt-A-Road:  Trash pick up on 25th Street was set for 9 AM, Sat, 17 Sep 16.  An email inquiry after the meeting, indicated that 4 volunteers can make this event.
    9. Audit of CY 2016 Accounting Books:  A CPA has not been located yet for the audit of the accounting books which is needed for the 2017 CFC Application due our CY 16 income being over $100K.  As mentioned above, the CFC will be issuing major changes on 1 Oct 16, which will affect the 2017 CFC application, including:  (1) Assessing application, listing and distribution fees rather than taking overhead fees out of the donations.  (2) Administrative zones will be reduced from 147 to 38 (although the Crew appears to be in similar zone).  (3)  With the Crew’s CY16 annual income in the 100K to 250K range, only a less costly CPA review will be required rather than an audit.  The Secretary recommended that we hold off contacting a CPA until the CFC changes are issued.

(4) Sign-up time is 7:15 AM at HR Central which is located inside the ramp gate, North of the new fire station. (5) Volunteer lists to SMSgt Blalock of HR Central ( anthony.blalock@us.af.mil ) and  Base Public Health (Jose.Devora_ramirez@us.af.mil) have been submitted.

E. Dinner Raffle:  This event is planned for Oct and Nov 16 with Pizza Ranch certificates.

D.Crew Website ( http://www.accrew.org ):  The photo disc for the 2016 deployment is not available yet.  After the disc arrives, the Secretary requested that representative photos be selected for the website, without regard to the two sites.

F.Volunteer Recruitment in Bellevue:  The Secretary is planning to do another Pancake Breakfast with the Offutt Catholic Chapel Confirmation Class, with a tentative date of Sun, 19 Feb 17.

G.2016 Deployment (work starts on 2 Jun 16): After 15 workdays, Crew deployment work wrapped up on Thurs, 16 Jun 16.   The Gibson Family moved into their new home on Fri, 17 Jun 16 and the Moore Family moved in on Fri, 1 Jul 16.  A total of $53,653.35 was expended on the Moore home and $55,487.64 was expended on the Gibson home.  One of the main reason for the cost difference was that more work was done on the Gibson foundation.  Each family was given the following new appliances:  microwave, stove, refrigerator, washer and  dryer.  The Gibson Family requested and also received a dishwasher.  Lessons learned include:  (1)  The ideal size for the Finish Crew is 6 volunteers.  (2)  Marcel Moreau thought that framing work went too fast and the mistakes affect the siding work.

 

  1. New Business:                                                                                                                                                                                                                                         A.2017 Fundraising Goal:  Based on the following calculation for the 4BR/2 Bath home to be built in 2017, the Construction Director proposed a 2017 fundraising goal:  1.3 (288 SF increase) X $50,000 + $5,000 (Add’l Bath) + $5,000 (Septic System) =  $75,000.

B.2017 Deployment (works starts on Thurs, 1 Jun 17):  We will be building a 4BR/2 Bath home for Rebecca Yancey (widow) and her four children:  Amber, 15; Jonny, 12; Allison, 5 and Dawson, 1.  The home will be located at 127 Perry Road, Stearns, KY 42647 (South on Highway 27, left on Pigskin Lane and right on Perry Road).  Berthing at St. Joe’s Inn has been previously reserved from 31 May to 16 Jun 17.  Some additional equipment and materials for 2017, include:  Azek for the trim around the windows, 3-ft X 5-ft emergency egress windows for the bedrooms and a commercial food mixer has been purchased to replace a worn-out mixer.  The floor plan has not been finalized but orientation information is still needed.  Using wider roof trusses is being considered for covering the front porch.

C.Crew Shirts:  With the closure of C & C Tailor Shop, the Secretary ordered 12 shirts (1 S, 2 M and 9 L) from JoDon’s at cost of $20 each plus sales tax.

In June 2017, the Crew will be building a home for Rebecca Yancey, a widow, and her four children, Amber, 15, Jonny, 12, Allison, 5 and Dawson, 1.  The Yancey  Family is currently living in an old, rundown trailer, near the home we built in 2015.  The new home will be built at 127 Perry Road, Stearns, KY 42647.  Due to the size of the family, we will be building 4-Bedroom/2 Bath home.124

UPDATE:

Saturday turned out to be a beautiful day with record numbers of people visiting Offutt Air Force Base. 10 volunteers worked at RoRo’s concessions making hot dogs and funnel cakes. It was a long day but well worth it. The Thunderbirds put on a wonderful show.

3.  The minutes of the meetings held on 10 March 2016, were approved.

4.  Treasurer’s Report: Treasurer Janelle Smith provided the following status, as of 31 Mar 16, to the Secretary before the meeting: Great Western Checking Account: $84,468.77; Fidelity Money Market:  $23,213.84; Progress on 2016 Fundraising Goal of $55,000: 71.2%  (However, when the two $20,000 advance payments and the $2,000 food check for this year’s deployment are added back in, the progress is 147.6%.)

5.  Finance Director’s Report: The following items were discussed:

A.  Cans for 2 X 4’s: One attendee brought Al cans.

B.  Church of Nativity, Burke, VA Designated Offering, 9-10 Jan 2016:  On 11 Apr 16, a check for $41,117.17 was received.

C.  Bowl-a-thon, Sat, 1:30 PM, 12 Mar 2016, Leopard Lanes:  Collection of pledges to date is at $3,608, with one known pledge still outstanding.

D.  2016 Financial Plan:  Based on total donations received, we now have raised at 232.8% of the $55,000 goal.

E.  Offutt Air Show, 30-31 Jul 16: Major James Lee and Pierre Flatowicz (pflatowicz@gmail.com) are points-of-contact. The only volunteer meeting will be held at 9 AM, Mon, 18 Apr 16, in the Bennie Davis Theatre. The Finance Director and the Secretary are planning to attend this meeting. Pierre indicated that our request of 6 Apr 16, to work on Sat rather Sun, may not be met because the assignments have already been made.

A.  Update of Membership Roster: No updates made.

B.  Combined Federal Campaign: The 4th (and final) Automatic Quarterly Bank Deposit of $1,385.69 for the 2015 Distribution was received on 23 Mar 16. This payment was $301.68, more than anticipated.  The Secretary indicated that the Crew has been approved for the 2016 Indiana, Kentucky, Southwest Ohio CFC Drive by the Cincinnati office, with a CFC No. 61342 (same as 2014). After the Crew’s deployment, the Secretary will send a letter to past CFC donors.

C.  VA Connection (Bob Corsi): Bob has provided a list of 20 VA volunteers with an availability chart for Crew volunteers for building of 2 homes. On the Siding Crew, Art Rupenin has be replaced by Seth Machler.

D.  Crew Website ( http://www.accrew.org ):  No new developments.

E.  Colorado (CO) Connection (Gary Piper):  No new developments.

F.  Volunteer Recruitment in Bellevue:  No new developments.

G. 2016 Deployment (work starts on 2 Jun 16): The Construction Director has ordered the kitchen cabinets and other materials from Lowe’s in Somerset for both houses. The onsite Crew list still stands at 33 volunteers (29 men and 4 women). The Construction Director reserved two rooms at the Baymont Inn in Evansville, IN for the midpoint stopover on 31 May 16, at a cost of $45 per person. The Construction Director reminded Carpool drivers to save their gas receipts to be reimbursed. A possibility of a trailer overload has been reduced by the addition of another pickup to the Carpool Plan to haul 4 sets of 5 X 7 scaffolding for House 2. Asst. Cook Kathi Narlock will now haul the two microwaves with her rental van. The Construction Director has reserved St. Joe’s Inn for the 2017 Deployment, from 31 May to 14 Jun 2017.  Siding Crew Leader Gary Piper has decided not purchase two siding nailers. The Construction Director purchased a roofing nailer and palm nailer and was reimbursed a total of $299.92. Asst. Cook Kathi Narlock bought two used, 5 CF, chest freezers for deployment food storage for $90 and was reimbursed by the Head Cook out of the Deployment Food check money. Due to the high cost of a initial catered Wednesday night BBQ meal, the cooks will now provide this meal.  The Asst. Cook has purchased the two microwaves from Best Buy for $358.68 and will be reimbursed at the next meeting.

H.  2015 IRS Forms provided to the Treasurer: IRS Form 990-EZ is due on 15 May 16.

7.  New Business:

A.  25th Street Clean-up, 9 AM, Sat, 16 Apr 16: Three volunteers have signed up to pick up trash.

4.  Treasurer’s Report:  Treasurer Janelle Smith was not present to provided a status.

5.  Finance Director’s Report:  The following items were discussed:

A.  Cans for 2 X 4’s:  No new developments.

B.  Church of Nativity, Burke, VA Designated Offering, 9-10 Jan 2016:  Total received from the offering was $41,857.17.

C.  Bowl-a-thon, Sat, 1:30 PM, 12 Mar 2016, Leopard Lanes:  Total pledges received are $3,658, which is a new record amount.

D.  2016 Financial Plan:  Based on total donations received, we now have raised at 233.3% of the $55,000 goal.

      E.  Offutt Air Show, Sat, 30 Jul 16:  From the volunteer meeting on 18 Apr 16, the Crew has been assigned to work in RoRo stands on Saturday, which serve lemonade, funnel cakes, hot dogs, fries, nachos, smoothies and tea.  Designated volunteer parking is North of the BX.  Clothes such as cut-off shorts and open toed shoes are not allowed.  We will be wearing Crew shirts and hats (if no hat is worn, a hair net is required).  Sign-up time is 7:15 AM at HR Central which is located inside the ramp gate, North of the new fire station.  To insure that we get credit for 10 volunteers, it is important that we sign in and out of HR Central.  The vendor should release volunteers around 5 PM.  Depending on the weather and attendance, payout was projected at $1,500.  Kathi Narlock was tasked with submitting the following two required volunteer lists:  (1) the list of 10 volunteers to SMSgt Blalock of HR Central ( anthony.blalock@us.af.mil ) on the specified Excel document; and (2) the signatures of the 10 volunteers certifying the reading of food handling procedures to Base Public Health ( Jose.Devora_ramirez@us.af.mil ).  Base Public Health will return the approved list for the Crew to post in each stand.

Cook Kathi Narlock was reimbursed for the purchase of the two microwaves at a cost of $358.68.

      H.  2015 IRS Forms provided to the Treasurer:  IRS Form 990-EZ is due on 15 May 16.  Note:  After the meeting, the Treasurer reported that the form was submitted a month ago.

      I.  Donor List:  The list was passed around the room for omissions and errors.  Each family will receive the same list.
